IPS has enhanced the reserves process. The enhancements include the ability to set reserves at a customer and publisher level. Both types of logical reserves can be controlled over a period of time with an expiration date. Reserves are entered via OMS by Customer Care (for Sales Rep reserves) and/or Business Operations Publisher Support for Publisher request.
3 Reserve Scenarios:
TYPE: Logical Reserve for Specific customer
DEFINITION: A reserve type where there is a specific customer that a sales rep and or client publisher would like to establish a designated inventory for.
To request this type of reserve:
Please contact Business Operation Support Rep for Publisher Requests or Customer Care for Sales Rep requests with the following details.
The EAN/Title to be reserved
Specific Quantity to be reserved
Date you would like the reserve to expire
Warehouse the stock should be reserved in
The Bill to Account of the customer you are wanting the stock reserved for.
Timing:
This type of reserve can be requested before or after stock has arrived at the warehouse. If stock is currently available, it can take 2 to 6 hours to be take effect once entered into the system depending on the time of day.
Releasing from this type of Reserve:
The system will automatically release stock once an order is received for that specific EAN on the customer’s specific account.
TYPE: Logical Reserve not for Specific customer
DEFINITION: A reserve type where there is not a specific customer designated for a specific amount of inventory. This type of reserve is mostly requested by a publisher.
To Request this type of reserve:
Please reach out to your Business Operation Support Rep with the following information:
The EAN/Title to be reserved
Specific Quantity to be reserved
Date you would like the reserve to expire
Timing:
This type of reserve can be requested before or after stock has arrived at the warehouse. If stock is currently available, it can take 2 to 6 hours to be take effect once entered into the system depending on the time of day.
Releasing from this type of reserve:
Any order in need of stock being released must be done at the publisher’s request by contacting Business Operations Support with the following information.
EAN/Title to be Released
Quantity to be Released
Account Name and Ship to Number the reserve should be released to
Purchase Order Number to be released against
TYPE: Manual Allocation
DEFINITION: This must be approved by the publisher on a single title level. This type of reserve prevents all orders, except for those from the publisher’s DF account and International warehouse accounts (PGC, GBS, etc.) from processing in all DC’s without a manual intervention and will report in iPage as if none are available to order.
To Request this type of Reserve:
Please reach out to your Business Operations Support Rep with the following information
The EAN/Title to be place on manual allocation
The Reason the title is to be placed on manual allocation
Timing:
This type of reserve takes immediately upon entry. However, it will not stop orders that have already dropped to the warehouse floor for processing. (Remember this type of reserve stops all orders across all warehouses from shipping without someone manually intervening and removes stock from retail customers visibility)
Releasing from this type of Reserve:
If an order is being sent via iPage on the publisher account, the order must be set to allow backorders to process. Once the order comes into the Order Management System it will then automatically allocate to the order.
Any other order in need of being released or allocated must be done at the publisher’s request by contacting Business Operations Support with the following information.
EAN/Title to be Released
Quantity to be Released
Account Name and Ship to Number the reserve should be released to
Purchase Order Number to be released against
